ICanMed (“we”, “us”, “our”) operates the ICanMed MMI Trainer website and platform (the “Service”). The Service provides MMI and Casper practice questions, AI-generated feedback, and tutoring resources for prospective medical school applicants in Aotearoa New Zealand.

2. Information we collect

When you create an account, purchase a subscription, or use the Service, we may collect:

• Name, email address, and a password you choose when registering.
• Practice responses, voice recordings, and AI feedback generated during use.
• Payment information processed securely through our payment provider (Stripe). We do not store your full card details.
• Usage data such as pages visited, stations completed, and device/browser information.

3. How we use your information

• To provide and improve the Service, including generating AI feedback on your practice responses.
• To process payments and manage your subscription.
• To communicate with you about your account, updates, and relevant preparation resources.
• To analyse usage trends and improve the quality of our questions and feedback.

4. Voice recordings and AI

When you record a spoken response, the audio is uploaded securely to our servers and transcribed using automated speech recognition. We do not provide your voice recordings, transcripts, or any personal data to third-party AI providers. AI-generated feedback is produced using models that process your inputs solely to return feedback to you — your data is not used to train external models or shared with external AI services. Transcripts and feedback are linked to your account so you can review them later. All audio and transcription data is stored securely and access is restricted to authorised personnel only.

5. Data security

We take reasonable technical and organisational measures to protect your personal information and voice data from unauthorised access, disclosure, or loss. Payment information is handled entirely by our PCI-compliant payment processor (Stripe); we never store your full card details. We do not sell your personal information and we do not share it with third parties for marketing purposes. We may disclose information only where required by law.

6. Data retention

We retain your account data and practice history for as long as your account is active. You may request deletion of your account and associated data at any time by emailing admin@icanmed.co.nz.

7. Your rights

You have the right to access, correct, or delete the personal information we hold about you. To exercise these rights, contact us at admin@icanmed.co.nz.
